Steve,
I'm not sure of the capabilities of the meeting room we use, but I
expect there is a way to connect the room display to the speaker's video
output directly via something like HDMI. Basically what a speaker would
do if they were not broadcasting over Zoom. They would still connect to
the Zoom meeting and share their video through Zoom for the online
participants, but that way, the room would see the live presentation
without any delay.
I'll check with my former colleagues because this scenario was very
common (live presenter in the room with participants joining a Zoom
meeting) and we never had to deal with delayed presentation materials.
Note, I believe the bigger rooms had two monitors. One showed the
presentation (output of the presenter's laptop) and the other was the
Zoom meeting from the room so you could see the online participants as
well as the in-room camera feed.
An additional benefit to doing this is that people in the meeting room
can view the presentation without the speaker's picture or other
persistent Zoom messages obscuring parts of the presentation.
